Reducing fee arrears with clear, respectful communication
Most late payments come from unclear plans and forgotten dates, not unwillingness. Clarity and discretion help both the school and families.
Start with a clear plan
Families plan better when they know exactly what is due and when. At the start of each term, share the total fees, the instalments and their due dates, and the ways to pay.
If a family needs a different arrangement, agree it early and write it down. A plan agreed in week one is easier than a conversation in week ten.
Remind early and kindly
A short, polite reminder a few days before a due date often prevents arrears altogether.
Keep reminders factual: amount, due date and how to pay. Confirm payments quickly, so parents are not chased for money they already paid. Offer a named contact — usually the bursar — for questions.
Protect families’ dignity
Naming families who owe fees in WhatsApp groups, assemblies or notice boards damages trust and can harm learners. The ODPC’s guidance for the education sector specifically mentions disclosing parents’ financial obligations to large groups as a privacy concern. Handle every balance privately.
